Meetings:
•    Initial consultation to explain the planning & coordination process
•    2 In-person/Skype Meetings Nicole Gillis, Lead Coordinator (1 of these meetings will take place at the selected venue and include a walk-through to discuss floor plan layout) 
•    Unlimited email and phone communication from date of contract

Planning:
•    12 Hours of Service on your wedding day 
•    Development and Maintenance of Timeline
•    Web Based Wedding Planning Tools & Tracking
•    Wedding Checklists & Guides
•    Vendor Referrals of Quality and Reliable Industry Professionals
•    Review all Contracts and Arrangements
•    Walkthrough of Venue with all applicable vendors

 

Vendor Coordination 1 Month before Wedding:
•    Rental Coordination
•    Catering Coordination
•    Venue Liaison
•    All Vendor Coordination
•    Confirmation of all Contract Details
•    Confirm all vendors/arrival times
•    Finalize Production Schedule

 

Preparation Before your Wedding Day:
•    Development and Maintenance of Comprehensive Timelines for Wedding Day, Ceremony & Reception
•    Create and Finalize Master Planning Document for Wedding Day 
•    Oversee seating arrangements
•    Two weeks prior to the ceremony, all vendors listed on the contract will be contacted to verify details of their services

Day of Services:
•    Manage wedding vendors per your instructions – Nicole Alexandra Designs will be available in person and by telephone during the entire wedding day to assist vendors with any problems or questions
•    Manage wedding party
•    Manage vendor & décor setup at ceremony & reception sites
•    Ensure all vendors are prepared with appropriate instructions and materials
•    Organize & distribute all personal flowers to wedding party, family members & special guests
•    Provide Bridal Emergency Kit – aspirin, energy bars, mints, sewing kit, etc.
•    Facilitate the wedding ceremony
•    Check for any items necessary to properly conduct the ceremony
•    Oversee ushers & guest book attendants
•    Make sure that all members of the wedding party are looking picture perfect
•    Properly line up processional & cue musicians 
•    Ensure refreshments & small snacks are waiting for Bride & Groom immediately following Ceremony in a designated location
•    Work alongside the DJ/MC/Band to ensure they are prepared and have all of the correct details for all scheduled activities, i.e.: grand entrance, speeches, dances, etc.
•    Ensure all of the people participating in scheduled activities are ready and present before DJ/MC announces them.
•    Set up and break down table numbers/names, place cards, favors, toasting glass & serving set per your instructions
•    Coordinate entertainment and all announcements/events during reception
•    Ensure payment of vendor tips & balances
•    Return personal or rented items as agreed upon in advance to their owners
•    Set up, Direction, and Clean-up
•    Gather all items at the end of the evening and ensure they are packed and placed in designated location

•    Pick up all items to be used for the wedding day from the couple, i.e.: paper goods, candles, pictures, guestbook, cake serving set, toasting glasses, table numbers, place cards, programs, pens, etc.
